Last updated: 7 October 2026

1. About us

These terms apply to wellness retreat bookings made online with The Yard Wellness.

Retreat organiser: Claudia Martin, trading as The Yard Wellness.
Business address: The Yard, Trent Park Equestrian Centre, Bramley Road, N144UW
Email: info@theyardwellness.co.uk
Telephone: 07907648529

2. Booking and payment

Please read these terms before completing your booking. By booking, you agree to these terms.

Your booking is confirmed when we send your confirmation email. Please check the details and contact us promptly if anything is incorrect.

The retreat date, location, timings, activities and total price will be displayed before payment. Only the items expressly advertised as included form part of your booking.

Full payment is required at the time of booking unless an instalment arrangement is offered.

If you book for other guests, please ensure they receive these terms and the participation information before attending.

3. Online cancellation rights

Our retreats are leisure activities taking place on a specific date. The usual statutory 14-day cooling-off period for online purchases does not apply to these bookings.

This does not affect your other statutory consumer rights.

4. Cancellations and moving your booking

If you are unable to attend, our standard policy is to offer a transfer.

If you are unable to attend, our standard policy is to offer a transfer to another retreat day organised by The Yard Wellness, rather than a cash or bank refund.

Please email info@theyardwellness.co.uk before your booked retreat begins to request a transfer.

Transfers are subject to availability and written confirmation from us. If your chosen retreat costs more, you will need to pay the difference. If it costs less, any remaining credit can be used towards a subsequent retreat booking.

If no suitable future date is currently available, we will discuss the available options with you. If we cannot provide a reasonable opportunity to use your booking credit, we will offer an appropriate refund, subject only to any lawful cancellation deduction.

If you do not attend and have not contacted us before the retreat begins, your booking will normally be forfeited, subject to applicable consumer law.

Illness or changes in personal circumstances do not automatically entitle you to a cash refund.

This policy does not affect your statutory rights. Any amount retained following cancellation will not exceed our reasonable net loss directly caused by your cancellation, after taking account of costs saved and any resale of your place. We will take reasonable steps to reduce that loss and will not recover the same loss twice.

5. Transferring your place to another person

You may request to transfer your place to another guest by contacting us before the retreat.

The replacement guest must meet the advertised age, health and activity requirements and complete any necessary forms. We will not unreasonably refuse a suitable replacement.

A transfer is only complete once we confirm it in writing. Any unavoidable additional cost will be explained and agreed beforehand.

6. Changes or cancellation by us

We will provide the retreat with reasonable care and skill and substantially as advertised.

We may make reasonable minor changes to instructors, activity order or timings where necessary. Any replacement activity will be of a comparable standard and value.

If we make a significant change to the retreat date, location or a main advertised activity, you may accept the change, transfer to another retreat or cancel for a full refund.

If we cancel the retreat, including because minimum attendance is not reached or circumstances beyond our reasonable control prevent it from taking place, you may choose a full refund or a transfer to another retreat.

You will not be required to accept credit or a transfer instead of a refund where you are legally entitled to one. Refunds under this section will be made within 14 days of cancellation.

If a significant part of the retreat cannot be provided after it has started, we will offer an appropriate refund for the part not provided. Your statutory rights remain unaffected.

7. Health and suitability

Please review the activity descriptions and participation requirements before booking.

Tell us in advance about any injury, medical condition, pregnancy, accessibility requirement or other concern that may affect your safe participation. We will discuss any reasonable adjustments we can provide.

You may be asked to complete a health questionnaire. Please provide accurate, relevant information and notify your instructor of any changes before participating.

Follow all safety instructions, use equipment as directed and stop an activity if you feel unwell or experience pain.

Retreat activities are intended for general wellbeing and are not a substitute for medical advice or treatment. Where appropriate, seek advice from a qualified healthcare professional before participating.

We may adapt or decline participation in an activity where reasonably necessary for safety. We will discuss suitable alternatives where available. This does not automatically entitle you to a refund where the relevant restriction was clearly disclosed before booking.

8. Activities, clothing and arrival

Please arrive at the time stated in your confirmation and wear the clothing and footwear specified in your joining instructions.

Any minimum age, experience, weight or other suitability requirements will be disclosed before booking where relevant.

Where horse riding is included, participants must meet the riding provider’s suitability requirements, wear the required safety equipment and follow the instructor’s directions.

Late arrival may mean you miss an activity if joining late would be unsafe or disruptive. Refunds or replacement sessions are not normally offered for activities missed because of late arrival, subject to your statutory rights.

Choosing not to take part in an activity does not automatically entitle you to a refund.

9. Food, allergies and dietary requirements

Please notify us of allergies and dietary requirements as early as possible and by any deadline in your joining instructions.

We will confirm whether we can accommodate your requirements. A request is not accepted until we confirm it.

Food may be prepared in kitchens that handle allergens, so we cannot guarantee an entirely allergen-free environment. This does not limit our responsibility to handle food safely and provide accurate allergen information.

10. Conduct and belongings

Please treat staff, guests, animals, equipment and the venue respectfully.

We may stop participation or require a guest to leave if their behaviour is abusive, unsafe or seriously disruptive. Any decision will be reasonable and proportionate. Any refund will depend on the circumstances and applicable consumer rights.

Please keep your personal belongings secure. We remain responsible for loss or damage where legally liable, including where caused by our negligence.

11. Photography and filming

Photography and filming may take place during the retreat for promotional purposes, including our website and social media.

Where filming is planned, we will explain the intended use of images and the choices available to you.

If you do not wish to appear in promotional photographs or videos, please notify us before the retreat or tell a member of the team on arrival. We will make reasonable arrangements to respect your preference.

Agreement to these booking terms does not itself constitute consent to promotional use of your image. Where consent is required, we will obtain it separately. Further information is available in our Privacy Policy.

12. Our responsibility to you

We are responsible for foreseeable loss or damage caused by our breach of these terms or failure to exercise reasonable care and skill.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot lawfully be excluded or limited.

Nothing in these terms affects your statutory consumer rights.

13. Personal information

We handle your personal information in accordance with our Privacy Policy.

Where necessary to deliver your booking safely and lawfully, relevant information may be shared with the activity providers involved in your retreat.

Health information will be handled with appropriate safeguards and the required lawful basis.

14. Questions and complaints

Please raise any concerns with the retreat team during the event so we have an opportunity to help.

For booking enquiries or complaints, email info@theyardwellness.co.uk with your booking reference and details of your concern. We aim to respond within 10 working days.

15. Applicable law

These terms are governed by the law of England and Wales. You may bring proceedings in the courts of England and Wales or, where applicable, the courts where you live in the UK.

The terms supplied when you book apply to your booking unless a change is required by law or agreed with you.
